Position title : Logistics & Procurement Intern
Reporting to : National Office Logistics Coordinator
Location : Mogadishu, Somalia
Job summary:
SOS Children’s Villages Somalia is seeking a Logistics & Procurement Intern to support the Supply Chain team in the effective coordination of procurement and logistics activities. The intern will gain practical experience in procurement, supplier coordination, logistics planning, inventory and warehouse management, fleet administration, documentation, and supply chain reporting.
The position is primarily a learning and support role. The intern will work under the guidance of the logistics and procurement team and will not independently approve procurement transactions, select suppliers, authorize payments, or make decisions reserved for authorized staff.
Job responsibilities:
- Procurement Support
- Assist the procurement team in preparing and organizing procurement documentation.
- Support the collection of supplier quotations as instructed.
- Assist in preparing quotation comparison sheets and other basic procurement documents.
- Maintain and update procurement trackers.
- Follow up on outstanding purchase orders and supplier deliveries under the guidance of the responsible Logistics officer.
- Assist with maintaining supplier records and procurement files.
- Support the scanning, filing, and electronic archiving of procurement documentation.
- Assist with basic market research and collection of suppliers and price information.
- Support the preparation of routine procurement reports and status updates.
- Identify missing or incomplete procurement documentation and bring it to the attention of the Logistics Officer
- Logistics Support
- Assist with coordinating the movement and delivery of supplies, equipment, and other materials.
- Support logistics arrangements for deliveries to programme locations and offices.
- Assist in maintaining delivery records, waybills, dispatch notes, and other logistics documentation.
- Follow up on pending deliveries and report delays or challenges to the supervisor.
- Support the maintenance of logistics trackers and records.
- Assist with basic fleet administration, including vehicle movement records, fuel records, and maintenance documentation.
- Warehouse and Inventory Support
- Assist warehouse personnel with stock documentation and record keeping.
- Support physical stock counts and inventory verification exercises.
- Assist with maintaining stock cards and other inventory records.
- Support the preparation and filing of Goods Received Notes, delivery documentation, and related records.
- Assist in identifying discrepancies between physical stock and recorded balances and report them to the staff responsible.
- Support proper organization and documentation of warehouse activities.
- Data Management and Reporting
- Enter procurement, logistics, inventory, and fleet data accurately into approved systems and spreadsheets.
- Support the preparation of routine reports and data summaries.
- General Support
- Provide administrative support to the Supply Chain team as required.
- Maintain confidentiality of organizational, supplier, financial, and procurement information.
- Undertake other reasonable duties assigned by the supervisor that are consistent with the purpose of the internship.
Minimum Qualifications:
- Diploma or bachelor’s degree in Procurement and Supply Chain Management, Logistics, Purchasing and Supplies Management, Business Administration, or another relevant field.
- Recent graduate or currently pursuing a relevant qualification.
- Basic understanding of procurement, logistics, or supply chain principles.
- Good working knowledge of Microsoft Office, particularly Microsoft Excel and Word.
- Good written and verbal communication skills in English.
- Good organizational and record-keeping skills.
- Strong attention to detail and willingness to learn.
- Ability to work effectively as part of a multicultural and multidisciplinary team.
- High level of integrity, professionalism, and reliability.
Desirable Qualifications and Experience
- Previous internship, attachment, volunteering, or practical experience in procurement, logistics, administration, or a related field.
- Basic knowledge of procurement procedures and supplier sourcing.
- Basic knowledge of Administration or office Administration
- Basic understanding of warehouse and inventory management.
- Experience using Excel for data entry, tracking, and basic analysis.
- Knowledge of the humanitarian or NGO operating environment is an advantage.
