Job summary:

 

SOS Children’s Villages Somalia is seeking a Fleet Assistant to support the Logistics & Administration team in the effective coordination of transport and fleet operations, ensuring safe, reliable and timely transportation services and the efficient use and maintenance of organizational vehicles.

 

To provide safe, reliable and timely transport services while supporting the effective day-to-day coordination of drivers and fleet operations, including vehicle allocation, maintenance follow-up, fleet records and authorized Airport transport, in compliance with organizational safety, security and operational requirements.

 

 

 

 

 

 

 

 

Job responsibilities:

 

  1. Driving and Transport Services
  • Provide safe, reliable and professional transportation services to authorized staff, visitors, partners and other approved passengers.
  • Transport staff to meetings, training, coordination activities, field locations, the Airport and other authorized destinations as required.
  • Ensure all journeys are undertaken in accordance with organizational security, fleet and transport procedures.
  • Conduct daily vehicle checks before operating assigned vehicles and promptly report any defects or safety concerns.
  • Maintain a high standard of driving discipline and comply with applicable traffic laws and organizational driving procedures.
  • Ensure passengers and organizational property are transported safely and securely.
  • Maintain confidentiality regarding passengers, destinations, meetings and other sensitive organizational information.
  • Provide Airport transport support when authorized and where the required security clearance and access arrangements are in place.

 

  1. Driver Coordination and Daily Transport Support
  • Support the Logistics & Administration Staff in the day-to-day coordination of drivers.
  • Assist with the allocation of vehicles and drivers according to approved transport requests and operational priorities.
  • Support the preparation and coordination of daily and weekly transport schedules.
  • Monitor driver availability and communicate changes in transport requirements.
  • Assist in ensuring that drivers comply with working schedules, vehicle-use procedures and safety requirements.
  • Report driver-related operational issues, incidents, delays or concerns to the supervisor.
  • Provide practical support to drivers regarding vehicle use, safety and routine operational matters.

 

  1. Vehicle Maintenance and Repairs
  • Conduct and/or coordinate routine vehicle inspections and identify maintenance requirements.
  • Monitor vehicle servicing schedules and ensure vehicles are presented for scheduled maintenance on time.
  • Liaise with approved garages and mechanics regarding vehicle servicing and repairs, under the direction of the supervisor.
  • Follow up on vehicle repair work and report the status of vehicles requiring maintenance.
  • Ensure vehicles are maintained in a clean, safe and roadworthy condition.
  • Monitor routine vehicle requirements, including tyres, batteries, fluids, lights and other basic vehicle components.
  • Immediately report major mechanical, safety or accident-related issues to the supervisor.
  • Assist in maintaining records of vehicle servicing, repairs, maintenance costs and downtime.

 

  1. Fleet Records and Reporting
  • Maintain accurate and up-to-date vehicle and transport records as assigned.
  • Support the maintenance of vehicle logbooks, mileage records, fuel records and service schedules.
  • Record vehicle movements and usage in accordance with organizational requirements.
  • Assist with monitoring fuel consumption and report unusual or significant variations.
  • Support the preparation of routine fleet and transport reports.
  • Ensure relevant vehicle documentation is valid and available, including insurance, registration and inspection documentation.
  • Maintain appropriate records of vehicle incidents, accidents, repairs and maintenance.

 

  1. Airport and Security-Related Transport Support
  • Provide authorized transportation to and from the Airport when required.
  • Maintain familiarity with Airport access procedures, security requirements and approved routes.
  • Liaise appropriately with relevant security and government authorities regarding authorized vehicle access, where required and within the scope of the position.
  • Ensure all Airport movements are undertaken in accordance with organizational security protocols.
  • Immediately report any changes in Airport access requirements, road restrictions or security-related transport concerns to the supervisor.
  • Support business continuity by providing reliable transport access during periods of increased security restrictions, subject to organizational security guidance.

 

Compliance, Safety and Safeguarding

  • Comply with all organizational policies and procedures relating to fleet, transport, security, safeguarding, code of conduct and health and safety.
  • Demonstrate zero tolerance for harassment, exploitation, abuse and other safeguarding violations.
  • Maintain professional boundaries with passengers, colleagues, suppliers and external stakeholders.
  • Ensure organizational vehicles are used only for authorized purposes.
  • Maintain strict confidentiality regarding organizational activities and information obtained through the course of work.

 

Qualifications and Experience

Minimum Qualifications

  • Secondary school certificate or equivalent.
  • Valid and appropriate driving license.
  • Relevant professional driving training/certification is an advantage.
  • Basic computer literacy and ability to maintain electronic or manual records.

 

Required Experience

  • Minimum 5 years of relevant professional driving experience, preferably with an NGO, UN agency, international organization, diplomatic mission or similar institution.
  • Demonstrated experience driving in Mogadishu and familiarity with local roads, routes and security considerations.
  • Practical knowledge of vehicle maintenance and basic mechanical troubleshooting

Knowledge and Skills

  • Experience supporting fleet operations, vehicle scheduling or driver coordination is an advantage.
  • Experience dealing with garages, mechanics and vehicle service providers is desirable.
  • Previous experience with Airport access procedures or authorised Airport transportation is highly desirable.
  • Ability to work flexibly, including occasional work outside normal working hours when operationally required.

 

Position Requirements (Special Operational Consideration)

  • Given the prevailing security environment in Mogadishu, the position requires a combination of professional driving capability, practical fleet knowledge, familiarity with local security and road conditions, driver coordination skills and the ability to support authorized Airport movements.
  • Where Airport access is required, the position holder must maintain the necessary authorization and comply fully with all applicable Airport, government, security and organizational access requirements.
  • Any security clearance or Airport access is subject to the relevant authorities and organizational procedures and does not constitute unconditional entitlement to access restricted areas.
